Real product screens from the Workzoom payroll software that runs Canadian payroll for Northern Sunrise County, Silvera for Seniors, and other Canadian employers.

Pay processing

Review every pay run before it closes. A pre-flight pass flags a missing deduction or bad retro before the money moves, not after payday.

Platform

Why is the architecture different?

Compliance gets the headlines. The architecture is why it actually works on every pay run.

Single database. No sync required.

HR, Workforce, Payroll, and Talent share one employee record. When a rate changes in HR, payroll reads it immediately. No sync job between modules, no reconciliation step.

13 provincial tax tables, maintained automatically.

Federal and provincial income tax is calculated across all provinces and territories. Tax tables update when CRA publishes changes. No manual table entry.

CPP, CPP2, and EI at current rates.

CPP at 5.95% on pensionable earnings to the $74,600 YMPE, CPP2 at 4% between the YMPE and the $85,000 YAMPE, and EI at 1.63% on insurable earnings to the $68,900 maximum. All rates update automatically when CRA publishes changes.

How it works

Pay close happens in the platform.

Six steps. One system. No spreadsheet handoffs.

  1. Employee

    Clocks in and out.

Time clocking via web, mobile, or biometric devices. Provincial labour standards and overtime calculations run on every entry.

  2. Manager

    Reviews daily exceptions.

Overtime visibility before it impacts payroll. Manager confirms or denies each flagged entry before it reaches the pay run.

  3. Workzoom payroll admin pay-close screen for Canadian payroll, showing CPP, CPP2, EI and provincial tax deductions
    Payroll Admin

Calculates CPP, CPP2, EI and provincial tax.

A pre-flight pass flags the missing deduction or bad retro during the run, so you fix it before the money moves, not after payday.

  4. Payroll Admin

    Approves the run.

Review payroll totals, the pre-flight exceptions, and every changed record before the run closes.

  5. Payroll Admin

Generates the EFT file for your bank.

Workzoom generates the direct-deposit file in the Payments Canada EFT standard (CPA Standard 005). You upload it to your own bank, and net pay moves from your account to your employees' accounts.

  6. Payroll Admin

Remits to the CRA and files T4s at year end.

Source-deduction remittance amounts are prepared on the cadence assigned to your account. T4 slips and the CRA electronic-filing file are ready ahead of the February 28 deadline. Your team reviews and submits both.

Compliance

Provincial Payroll Regulations

Canadian payroll is provincial. Workzoom applies provincial payroll regulations for Ontario, Quebec, British Columbia, Alberta, Saskatchewan, Manitoba, the Atlantic provinces, and all three territories on every pay run, including Quebec's QPP, QPIP, and Releve-1 reporting.

Proof

Running in Canada

40%

faster payroll processing

Northern Sunrise County, a rural Alberta municipality with a seasonal workforce of 90 to 140 employees, processed its first Workzoom payroll on January 15, under three months after the project started, a 40% faster payroll process than its prior system.

Switching to Workzoom has made managing payroll and timekeeping so much easier. The system is straightforward and works really well. We were able to process our first payroll faster than we expected, and now we feel much more confident in how we're handling everything. It's been a big help.

The story

In their words

The story

Demonstrate one pay group across two provinces

Use an agreed sample employee, approved hours and a province change. Review the payroll register, CPP, CPP2 and EI contributions, then compare the resulting federal and provincial tax withheld between an Ontario and a Quebec employee record.

Change one input after the first calculation, such as a mid-year province transfer. Ask the demonstrator to show the recalculated pay, the CPP versus QPP switch, and the approval record. Keep those outputs as acceptance criteria for implementation. This is a proposed evaluation scenario, not a benchmark from a customer payroll.

The story

Separate calculation, remittance and payment

Workzoom prepares payroll reporting, the CRA remittance amounts and the direct-deposit file in the Payments Canada EFT standard (CPA Standard 005). Your team reviews and submits remittances to the CRA and uploads the payment file through its own bank.

Bring the remittance cadence assigned to your account and confirm who checks bank acceptance and handles a rejected file or an amended T4. A generated file is not evidence that your bank has accepted it or that an employee has been paid.

The story

A published payroll result from Northern Sunrise County

Northern Sunrise County, a rural Alberta municipality with a seasonal workforce of 90 to 140 employees, had moved through two prior systems (Diamond, then Muniware) that had eroded staff confidence in the numbers. The county processed its first Workzoom payroll on January 15, less than three months after the project started, and reports a 40% faster payroll process, the fastest the county had seen.

Use that example to evaluate the handoffs your own team wants to remove. The result belongs to Northern Sunrise County and is not a promised saving or a comparison with another vendor.

The story

Thirteen provinces, one calculation engine

Federal and provincial income tax is calculated across all 13 provinces and territories, with tax tables updated when CRA publishes changes. Quebec runs on the same engine with QPP, QPIP and Releve-1 reporting instead of CPP and a federal T4.

Workers' compensation premiums are calculated from each pay run for your provincial board (WSIB in Ontario, WorkSafeBC in British Columbia, CNESST in Quebec, and WCB across Alberta, Saskatchewan, Manitoba and the Atlantic provinces), and health tax reporting is prepared where it applies (Ontario EHT, Quebec FSS, Manitoba Health and Post-Secondary Education Tax Levy, and BC Employer Health Tax).

Payroll in Canada

How Workzoom payroll runs day to day in Canada, with the local statutory specifics teams ask about.

Calculations, remittances and filings

Workzoom calculates CPP, CPP2, EI and federal and provincial tax on every pay run, across all 13 provinces and territories, at the rates published by the Canada Revenue Agency. Quebec employees run on QPP, QPIP and the reduced Quebec EI rate instead of CPP and the standard EI rate.
Workzoom generates T4 slips and the CRA electronic-filing file ahead of the February 28 deadline, and prepares source-deduction remittance amounts on the cadence assigned to your account. Your team reviews and submits the filing and the remittance to the CRA. Workzoom does not file directly with the government.
No. Workzoom generates the direct-deposit file in the Payments Canada EFT standard (CPA Standard 005) for your team to upload through its own bank. Your team approves the payment and checks bank acceptance. Agree who resolves a rejected file before the first live payroll.

Provinces, Quebec and customer evidence

Yes. Quebec employees contribute to QPP instead of CPP, pay a separate QPIP premium, and pay a reduced 1.30% EI rate instead of the 1.63% rate used elsewhere in Canada. Workzoom switches an employee's contribution program automatically based on their province of work.
Northern Sunrise County, an Alberta municipality with a seasonal workforce of 90 to 140 employees, reports a 40% faster payroll process and processed its first Workzoom payroll on January 15, under three months after the project started. Silvera for Seniors runs Payroll for 400 staff across 36 Calgary buildings, alongside HR, Workforce and Talent. These are published customer results, not guaranteed outcomes for every buyer.
Yes. Include employees from at least two provinces, ideally one Ontario or Alberta employee and one Quebec employee, in the demonstration, along with a province transfer. Confirm your own pay frequencies and provincial requirements during implementation.

Price and implementation

The Payroll Suite is $4 CAD per employee per month with a $400 CAD monthly minimum. All four suites are $16 CAD per employee per month with a $700 CAD monthly minimum. Implementation, data migration, training and support are included. See the pricing page for current scope.
