Pricing
Pricing and licensing
No initial setup fees. No long-term contract. No surprises. Pricing scales with your headcount, not your ambition.
See full pricingWorkzoom is priced at $4 per employee per month per suite. HR Suite is the foundation at $4. Each additional suite, Payroll, Workforce, Talent, adds $4. The full platform is $16 per employee per month. Monthly minimums start at $400 for HR alone. Full pricing breakdown here.
With Workzoom, no minimum headcount. There are monthly floor prices, $400/month for HR alone, $700/month for the full platform, which naturally define the smallest practical size. Below those thresholds you pay the floor, not per-employee.
With Workzoom, none. Implementation, data migration, training, and ongoing support are all included in the subscription price. What you see on the pricing page is what you pay.
Month-to-month by default. No annual commitment required. If you choose to pay annually, you receive a 5% discount. On cancellation, your data exports with you at no cost.
With Workzoom, everything: implementation, data migration, training, all product updates, and ongoing support with a named contact, not a ticket queue. The price you sign at is the price you stay at as the product improves.
With Workzoom, 5% off for annual billing. Nonprofits receive an additional 5% off, stackable to 10% on annual billing.
Each suite adds $4 per employee per month. Because Workzoom is one platform with one employee record, adding a suite requires configuration, not a new implementation. Your existing data is already there.
Getting started
Getting started
Workzoom guides the implementation and you set the pace. Go-live pace is set by your data readiness and decisions, not a fixed schedule. No IT project required.
How implementation worksHow long implementation takes depends on size, scope, data readiness, and how quickly your team can meet and decide. A clean employee data export, a clear org structure, early workflow decisions, and time clocks ordered at kickoff keep it moving, and the same team that implements Workzoom supports you after go-live. Go-live is client-paced: your team validates configuration in a sandbox, parallel payroll runs confirm accuracy, and your named implementation lead is with you from day one. See what going live actually looks like.
Workzoom's team leads the entire process, included in your subscription. You get a named implementation lead from day one, not a rotating project team. All training sessions are recorded for ongoing reference.
Minimal. Workzoom is cloud-native with no hardware, no server installation, and no infrastructure to manage. Your IT team may be involved for SSO configuration if required. That's typically the full extent of it.
Workzoom accepts any electronic format for employee records, included in the subscription. Mid-year payroll cutover is fully supported with YTD balance import, so you don't need to wait until January to switch. Individual past pay records stay in your previous system.
Workzoom uses a train-the-trainer approach, your team learns the system during implementation, and sessions are recorded so new staff can be onboarded without scheduling another training. Included in your subscription, no time limits.
The same team that implemented continues as your named support contact. There is no handoff to a generic ticket queue. Support is included in your subscription price, at the same responsiveness you received during implementation.
Yes. With Workzoom, mid-year payroll cutover is supported with YTD balance import. You do not need to wait until January. Most of our Bahamas and Caribbean clients have gone live mid-year without issue.
Platform
How the platform works
One database. Four suites. Every module reads from the same employee record, no sync, no re-entry.
Explore the platformFour suites: HR (personnel, recruiting, onboarding, organization, compensation, safety), Payroll (pay processing, benefits, expenses), Workforce (scheduling, timekeeping, time capture, time off), and Talent (performance, learning, career planning, succession). Employee Self-Service is included across all.
Work and compensation changes are timestamped and stored as a new version with their effective date, so the original is never overwritten. Salary changes take effect on the exact date they happen, payroll picks them up automatically, and you can retrieve a record's pay and job history exactly as it existed on any past date. Personal details like a home address update in place. Retro pay from backdated changes is calculated automatically in the next pay run.
Directly. Approved time flows from scheduling through timekeeping into payroll with no CSV export or manual re-entry at any step. What was scheduled, approved, and worked is what gets paid, with the correct rates and rules applied automatically.
420+ standard reports for a full administrator, organized by module and suite so each role sees the reports relevant to them, plus a drag-and-drop custom report builder and Workzoom Insight for interactive dashboards with drill-down. Because all data lives in one database, every report can span HR, Payroll, Workforce, and Talent in a single query, no joins, no exports.
Yes. Workzoom has mobile apps for iOS and Android, plus a fully responsive web experience on any browser. Time capture, leave requests, schedules, payslips, and employee self-service are all available on mobile.
Yes. Workzoom supports SAML 2.0 SSO (Azure AD, Okta, OneLogin) and GL export to major accounting platforms. Common integrations include benefits carriers, background check providers, and accounting systems, handled through supported imports and connectors.
Caribbean
Caribbean and compliance
Live NIB payroll in the Bahamas, HR, Workforce, and Talent across the Caribbean, and an honest roadmap for the rest.
Caribbean overviewPayroll is live in the Bahamas with named clients including Cable Bahamas and Island Luck. Jamaica, Trinidad and Tobago, Barbados, Antigua, and Anguilla are on our payroll roadmap, and we are scoping Jamaica now with launch partners. HR, Workforce, and Talent suites are available across the Caribbean now.
Yes. Workzoom calculates NIB employer and employee contributions automatically at current statutory rates and generates C10 contribution-statement data for the employer to review and submit to the National Insurance Board. Full Bahamas payroll details here.
Full Jamaica payroll, covering PAYE, NIS, NHT, Education Tax, and HEART levy, is on our roadmap, and we are scoping it now with launch partners. Contact us about Jamaica payroll and your timelines; HR, Workforce, and Talent are live today. Jamaica payroll details here.
Full Trinidad and Tobago payroll, covering NIS at the current rates (10.8% employer, 5.4% employee), PAYE per BIR tax tables, the Health Surcharge, and the Green Fund Levy, is on our roadmap. Contact us about Trinidad and Tobago payroll and your timelines; HR, Workforce, and Talent are live today. T&T payroll details here.
Workzoom maintains the statutory tables for each market where payroll is live. When tax tables or contribution rates change, such as NIB ceiling adjustments in the Bahamas, Workzoom updates the configuration. No manual work is required from your team.
Yes. Payroll, scheduling, and HR for Nassau, Freeport, Grand Bahama, and the Family Islands run from a single system with location-specific work rules, pay rules, and cost centers. Island Luck manages 60+ locations this way.
Yes. Work permit expiry dates, professional certifications, and regulatory credentials are tracked per employee across all locations. Automated alerts go to supervisors before renewal deadlines, compliance gaps are surfaced before they become employment liabilities.
Security
Security and data
Canadian-owned. AWS in ca-central-1 (Montreal). Canadian data residency. Your data belongs to you, always.
Canadian hosting on AWS in Montreal is available. Workzoom is Canadian-owned and privately held. US data residency is available on request for US-based clients.
Canadian hosting on AWS in Montreal is available. The AWS infrastructure carries ISO 27001 and PCI DSS certifications, and Workzoom is built on PIPEDA principles with AES-256 encryption, role-based access, and breach-notification controls. Some PIPEDA requirements, such as automatic candidate-data retention and deletion, are on our roadmap rather than enforced today. Security posture is validated through ongoing vulnerability scanning and penetration testing.
Workzoom does not claim immunity from foreign legal process. Workzoom is a Canadian company, and AWS, which hosts the platform, is a US-owned cloud provider. Canadian hosting on AWS in Montreal is available. For regulated industries and government clients, ask any vendor how it responds to a legal request for your data.
All data in transit is encrypted with TLS 1.2+ using 2048-bit certificates. All data at rest is encrypted with AES-256. Passwords are hashed using PBKDF2 with salt and key stretching, not stored in any reversible format.
Real-time replication runs across AWS Availability Zones, which are physically separate facilities. Daily encrypted backups run into AWS Backup vaults using WORM with Object Locking, held across multiple availability zones in the same region. Application and infrastructure configuration is version-controlled as Kubernetes manifests, so environments rebuild from source. Recovery time objective is 5 minutes to 8 hours. Recovery point objective is 24 hours maximum.
Yes. SAML 2.0 SSO with Azure AD, OneLogin, and Okta. Role-based access control goes down to the field level, HR and payroll access can be completely separated for segregation of duties.
Yes. A full data export in CSV and Excel formats is available at any time, at no cost. No proprietary formats. No ransom on exit. Your data is yours, before, during, and after your subscription.
Migration
Switching and migration
Migration is included. Most customers have moved from another payroll provider, an HR system, or spreadsheets, we've done it before.
Most commonly: established payroll providers, enterprise HCM suites, HRIS platforms, and accounting-suite payroll modules. Many customers also consolidate from disconnected point solutions, separate payroll, HR, and timekeeping tools that don't talk to each other.
Workzoom handles data migration as part of the included implementation. You provide your personnel data as a well-organized spreadsheet, and we map and import it into your sandbox, usually within a couple of days. Most clients need a single load, with an optional refresh if data changes during onboarding. The effort on your side is validating the imported data, not building the migration.
Yes. Mid-year payroll cutover is fully supported with YTD balance import. The majority of Workzoom implementations happen mid-year. You do not need to align with a calendar year-end to start.
This is the most common scenario Workzoom is brought in to solve. The implementation is designed around consolidating disconnected systems into one platform. Your data comes from wherever it currently lives, the result is a single employee record that HR, payroll, and workforce all read from.
Yes. Request a demo and bring the specific part of your operation that isn't working. The walkthrough is built around your situation, not a scripted slide deck. There are no initial setup fees, no annual commitment, and no penalty for deciding it isn't the right fit.
Full export in CSV and Excel, at no cost, with no delay. No proprietary format lock-in, no data held for leverage. Your employment history, payroll records, and reports export cleanly. You retain everything.
