What Canadian payroll and privacy questions belong in an HR demo?

HR software and payroll software are different purchasing decisions, even when bought together. If the proposal includes Canadian payroll, ask for demonstrations of the provinces, deductions, forms and corrections your organization needs.   • Payroll ownership: who calculates deductions, prepares files, submits returns and moves money? Write down employer and provider responsibilities separately.
  • Quebec: ask about QPP, QPIP, provincial reporting and both T4 and RL-1 workflows where applicable. RL-1 does not replace the T4. Government of Canada examples show both slips.
  • Privacy: request the processing agreement, hosting and backup regions, subprocessors, support access, retention and export terms. A Canadian server location alone does not answer all of those questions.

  • Give finalists the same sample hire, leave request, pay change and termination. Record who completes each step.
  • Have HR, payroll and one frontline manager score the completed tasks against requirements agreed before the demos.
  • Request a phased migration plan with data owners, reconciliation steps, employee training and an export plan if you leave.
  • Compare the written scope, first-year cost and ongoing workload. Speak with a reference whose operating model resembles yours.
