Choosing a Canadian-owned HRIS
Yes. Workzoom is a Canadian-owned HRIS, operated by Nortek Solutions Inc., founded in 2000, with its operating headquarters in Toronto. Canadian ownership describes who owns the business today. Canadian teams and Canadian data hosting describe separate parts of the service, so confirm each before choosing a vendor. Workzoom Canada
"Is Workzoom Canadian-owned?" Canadian employers looking for HR software sometimes ask it. If Canadian ownership is part of your HRIS vendor comparison, it helps to be precise about what you are asking.
Workzoom sells HR software, and we wrote this from our experience as a Canadian provider. For your team, the useful question is what that means for payroll, leave, support and the information you need to explain the purchase.
What does Canadian-owned HRIS mean?
An HR software company can have a Canadian office, employ people here and host data here while being owned abroad. It can also have been founded in Canada and later acquired by a foreign company.
That is why a broad statement such as Canadian HR software needs a little more explanation. In an HRIS vendor comparison, each of the following claims answers a different question.
| Claim and meaning | What to ask |
|---|---|
| Built for CanadaThe product is intended to serve Canadian requirements. | Ask the vendor to demonstrate the Canadian requirements your organization needs. |
| Canadian-foundedThe business originated in Canada. | Check who owns it today. |
| Canadian office or headquartersThe business has a physical presence in Canada. | Ask which company you will contract with and where its parent is based. |
| Canadian teamThe specified people work in Canada. | Ask which people will implement your system and support you afterwards. |
| Canadian data hostingThe covered data is stored on infrastructure in Canada. | Check exactly which records, backups and other copies are included. |
| Canadian-ownedThe claim describes current business ownership. | Confirm the current owners. Team location, service delivery and hosting still need their own answers. |
A global company can have real Canadian operations
These distinctions help you compare vendors fairly. A Canadian office can be useful, but it does not answer who will handle a difficult payroll question or where a backup will be stored.
For example, Employment Hero identifies its parent company as Australian and describes a Canadian team based in Toronto following its acquisition of Humi in 2025. Both are part of its offering. Employment Hero FAQ
Its data arrangements also depend on the product. It says Humi by Employment Hero data is stored in Canada. For its Employment Operating System in Canada, payroll data is stored in Canada, while HR account data is stored in Canada and Australia. The company also describes international access by authorized team members when needed. Employment Hero data explanation
The practical lesson is to ask about the product and arrangement you are buying. These disclosures explain ownership and hosting; they do not tell you how well a vendor will support your organization.
Start with the work your team needs to do
If you have ever had to explain a Canadian payroll requirement to your software provider, you know why local knowledge matters. The time you spend filling in that background is time you could be spending on the problem itself.
The same frustration can show up in smaller ways. A leave policy is awkward to configure. A familiar workplace term means something different in the system. A support answer assumes a process your organization does not use. Each issue adds work for the people responsible for keeping HR and payroll running.
During an evaluation, bring a few of those situations to the demonstration. You should come away knowing what the system handles, what your team needs to configure and where manual work remains. If you operate in several provinces or need French-language workflows, include those requirements in the conversation. The answer needs to fit your workplace.
What this means for payroll
Your payroll team needs to understand how a pay run was calculated, spot a problem before it closes and know who can help resolve it. A vendor's familiarity with Canadian payroll should show up in those everyday tasks.
Ask to see a pay run for the provinces where you employ people. Have the demonstrator explain the deductions and reporting, then work through a correction or a pay change. If you have several pay groups or collective agreements, bring an example that reflects that complexity. Ask which rules come with the system, which your team configures and who maintains them.
Payment and filing need clear owners
Keep calculation, payment and filing responsibilities clear. A system that produces a remittance report or a payment file may still require your team to review and submit it. Knowing those responsibilities before launch helps you plan the work and avoid a gap at a deadline.
Workzoom calculates Canadian payroll deductions and prepares T4, RL-1 and ROE files for your team to validate and submit. Approved time, pay changes and deductions are kept on the same employee record for review before the pay run closes. Workzoom Canadian payroll
What this means for leave management
For employees, a useful leave experience starts with a clear answer: how much leave do I have, what can I request and who needs to approve it? For HR and payroll, the questions continue: which policy applies, how was the balance calculated and what will this absence mean for pay?
Take one of your actual policies into the demonstration. Ask the vendor to show a request from the employee's view, the manager's approval and the resulting balance. Include a situation that causes work today, such as a part-time employee, a carryover limit, a cancelled request or a period of unpaid leave.
Follow the absence through to pay
Then follow the approved absence through to payroll. Ask what happens automatically, what needs review and whether anyone has to enter the same information again. If employees are covered by different provincial requirements, employment terms or collective agreements, ask how the system applies the right policy to each person.
You want employees to understand their available leave and your administrators to be able to explain the result. A team familiar with your setup should help you work through those details and test them before launch.
Workzoom gives employees access to their leave balances and requests, with accrual and carryover rules configured by policy. Approved leave connects to payroll. In a walkthrough, ask us to show how your policy would be configured and how an approved absence would affect the employee's balance and pay. Workzoom leave management
The team that sets you up stays with you
A Canadian implementation team means the people helping you get the system running are based in Canada. A Canadian support team means the people answering your questions are based here too. Ask who delivers each service, because a local sales office does not establish how the relationship works after the sale.
At Workzoom, implementation and ongoing support are delivered by the same Canadian team. The knowledge they build while helping you set up the system carries into the support you receive afterwards. Your Liaison and implementation specialist remain part of the relationship after go-live. Workzoom support, Workzoom implementation
During setup, you work through your policies, pay groups, approval structure and the decisions behind your configuration. Those details matter later. When you need to adjust a rule, investigate a balance or add a department, the team helping you has the context of how your organization was set up.
A support conversation can build on the work already done together, without repeatedly explaining your organization from the beginning.
Ask every vendor how that continuity works:
- Who will be your regular contacts?
- How is your setup documented so another team member can help when someone is away?
- Who handles an urgent payroll issue, and what support hours and response commitments apply?
Workzoom's ongoing support is included at every subscription tier with no time limit. The experience gained during implementation stays part of the service as your organization changes. Workzoom support
What does Canadian data hosting cover?
Canadian data hosting means the information covered by the vendor's commitment is stored on infrastructure physically located in Canada.
Knowing a provider is Canadian does not settle the question of where its data is stored.
That gives you an answer about location. To understand the full arrangement, you also need to know which information is covered. Employee records, payroll data, uploaded documents, backups and connected services may have different storage or processing arrangements.
Ask the vendor to explain the full arrangement:
- Where will your employee records and backups live?
- Do connected services receive copies?
- Can people outside Canada access the information to provide support, and what controls apply?
The Office of the Privacy Commissioner of Canada's cloud guidance raises these same questions about data location and cross-border processing. It points out that backup servers may be in a different location from primary servers. Privacy Commissioner cloud guidance
For your organization, clear answers help you assess the service against your privacy requirements and explain the decision internally. Have the agreed hosting arrangement documented, including how you will be informed of changes.
Confirm your Workzoom hosting arrangement
Workzoom offers Canadian hosting on AWS in Montreal. Canadian clients select the Canada Central region at onboarding. We encourage buyers to confirm the chosen arrangement, support access and contract entity against their requirements. Workzoom Canadian hosting disclosure
Hosting in Canada does not mean the cloud provider is Canadian-owned, and it is not a guarantee against every form of legal access. Assess the location, access arrangements and applicable requirements together.
Supporting Canadian businesses is part of the decision
The interest in buying Canadian is real. In a February 2025 Angus Reid Institute report, 78% of respondents said they were already buying, or were likely to buy, more Canadian products in response to tariff threats. That survey measured consumer purchasing, but it helps explain the wider attention to where money is spent. Angus Reid Institute research
For an employer choosing HR software, supporting Canadian ownership and employment can sit alongside practical reasons for the purchase: a team that understands your workplace, a product that handles your requirements and a service relationship you can rely on.
If domestic contribution matters to your organization, ask where the work happens:
- Who develops the product?
- Who delivers implementation and support?
- Which services does the vendor buy from other companies?
Those details give you a fuller picture than ownership alone. Canadian-owned businesses can use global cloud infrastructure. Foreign-owned businesses can employ people and purchase services in Canada. A clear explanation lets you make the choice on the grounds that matter to you.
What should public sector buyers document?
For a municipality or another public-sector employer, the decision also involves explaining how public money is being used. You may need to show who receives the subscription, where the service work takes place and what domestic employment or expertise the purchase supports.
Canada's federal Buy Canadian procurement framework makes domestic contribution an explicit consideration in covered procurements. Its supplier guidance defines a Canadian supplier through active operations, a physical business location, tax registration and economic contribution. That definition is different from Canadian ownership. CanadaBuys supplier guidance
The guidance also allows suppliers from applicable trading partners in certain opportunities. Your procurement team needs to apply the policies, trade obligations and solicitation requirements governing your particular purchase. Federal rules do not automatically establish the requirements for every provincial or municipal HRIS contract.
Keep a record your procurement team can use
Ask shortlisted vendors to document:
- Current ownership and the legal entity on your contract.
- Locations of implementation and support delivery.
- Data hosting, backups and access arrangements.
- Canadian economic contribution, where the permitted evaluation criteria consider it.
That helps you explain the purchase accurately. Ownership alone cannot show that every subscription dollar stays in Canada, or that every dollar paid to a foreign-owned vendor leaves it.
Questions for your HRIS vendor comparison
Use these questions with every vendor on your shortlist, including Workzoom. Ask for a demonstration where the answer concerns a workflow, and written confirmation where it concerns a service or contractual commitment.
- Who owns your business today, and which company would we sign with? Ask for the current parent company and the legal name on the contract.
- Will the Canadian team that implements our system also provide ongoing support? Ask who your regular contacts will be, whether outside partners are involved and how the knowledge gained during setup carries into support.
- What happens when we have a payroll problem close to our deadline? Ask who owns the issue, what response commitment applies and how the team can access your configuration history.
- Can you demonstrate a pay run and a correction using our Canadian requirements? Include your provinces, pay groups and relevant agreement rules. Establish who handles payments, remittances and filings.
- Can you show our leave policy from request through approval, balance and payroll? Include a carryover, cancellation or unpaid-leave example. Ask where information must be entered or checked manually.
- How do you maintain Canadian statutory calculations and help us update our own policies? Establish what the vendor maintains, what your team owns and how changes are tested.
- Which of our data and backups will be stored in Canada, and who can access them from elsewhere? Request the product-specific hosting arrangement, connected service locations and access controls in writing.
- What is included in the price throughout the relationship? Confirm migration, configuration support, training, ongoing support and any additional service charges. Public-sector buyers should also request evidence of domestic service delivery where their evaluation requires it.
Keep the answers together as you compare proposals. Specific answers make it easier to see which vendor understands your needs and to carry those commitments into implementation.
Bring your real requirements to the conversation
Workzoom's Canadian ownership and Toronto headquarters are part of who we are. The software and service still need to fit your workplace.
Workzoom connects HR, payroll, workforce and talent on one employee record and offers Canadian data residency. Implementation support, migration, training and ongoing support are included in the subscription. Compare the included services and suite costs on our pricing page. Workzoom Canada
A useful implementation conversation also makes responsibilities clear. Your team brings its policies, procedures and knowledge of the organization. Workzoom helps translate those requirements into the system. Ask who will prepare the data, approve the configuration and test the workflows before launch.
Our HR software implementation guide explains how to prepare your team for setup and testing. During implementation, your team works through configuration and testing with our guidance, including parallel payroll runs where relevant. The people who help you launch remain involved afterwards.
