How HRIS works.
An HRIS holds the authoritative record for each employee: identity, position, compensation, employment status, and the effective dates that govern when each value applies. Every other system that touches people data either reads from it or reconciles against it after the fact. The practical test of a real HRIS is whether a change entered once propagates everywhere it needs to, because the record is shared, or whether it has to be re-keyed into payroll, benefits, and scheduling separately. Vendors use the term loosely, so the test matters more than the label on the login screen.
Where HRIS goes wrong.
- The common failure is running an HRIS alongside a separate payroll database, so a mid-year salary change lands in one and not the other until someone reconciles them by hand.
- A second trap is storing employment history as a current snapshot with no effective dating, which makes retroactive correction and audit reconstruction close to impossible.
