The short answer
Most HR-payroll stacks are two databases kept loosely in step by a nightly sync. A single employee record is one record per person that HR, payroll, workforce, and talent all read from and write to simultaneously. A hire, a compensation change, or a termination updates every module at once. No exports, no sync jobs, no reconciliation pass before payroll closes. T4s, EFT files, and remittance extracts all pull from that same record. Workzoom has built on this single-record structure since 2001, one database from day one.
Two databases kept in step by hand. That is what most HR-and-payroll stacks actually are, even when the vendor calls them "integrated." One record in the HR system, a matching record in the payroll engine, and someone on the team confirms they agree before every pay run.
A single employee record removes that job. One record. Every module, Personnel, Payroll, Scheduling, Recruiting, Performance, reads from it and writes to it. A change made anywhere is a change made everywhere, at once, without an export file, an overnight batch, or a morning of reconciliation.
What the record holds.
Position. Compensation. Employment start date. Tax jurisdiction. Banking details. Benefits elections. Leave balances. Performance history. Every module adds its facts to the same record, so a headcount report from HR and a payroll cost report agree not by coincidence but by design.
Date-effective history is what separates a real single record from a flat snapshot. A compensation increase approved on the 14th carries a date stamp. The record holds when the rate changed and which pay periods it applies to. Year-end T4 generation draws from that same timeline. If compensation changed in March and the change was captured with a date, the T4 reflects that history without a separate reconciliation step.
Why separate databases break.
Stacks assembled by acquisition, or by pairing best-of-breed tools, sync on a schedule. A BambooHR-plus-Payworks combination means two databases kept in step by someone. The nightly batch covers most changes. But the batch runs at midnight. A position change approved at 3 p.m. on the 15th does not reach payroll until the 16th. If the pay run closed on the 14th, the employee earns pay at the old rate and the correction arrives a cycle later.
That is not integration. That is reconciliation with extra steps.
The failure is structural, not a configuration problem. No connector, webhook, or real-time API call fully closes the window between a change in one system and its reflection in another. The window is small. But in payroll, small windows produce errors that take three pay periods to trace, a correction file to submit, and a conversation with the employee to close.
Errors that appear in audits.
- Compensation changes approved in HR that never reached payroll before the cutoff, because the sync ran after the pay run closed.
- Terminated employees still active in the payroll database because off-boarding had separate steps in each system, one completed and one missed.
- Department or cost-centre codes that diverged across systems, producing headcount figures that do not reconcile to payroll expense reports at month-end.
- Rehired employees created as new records in one system and linked to existing records in another, splitting employment history across two profiles and breaking continuous-service calculations.
