The short answer
Benefits administration manages employee enrollment, eligibility, contributions, and reconciliation for health, dental, life, disability, retirement, and ancillary plans. Done manually it consumes 2 to 5 days per month. Workzoom Benefits enables digital enrollment from self-service, calculates payroll deductions automatically, and feeds reconciliation files directly to carriers.
How Benefits administration works.
Benefits administration covers plan setup, eligibility rules, enrollment, life-event changes, and the deduction amounts that flow into each pay run. The difficulty is that eligibility depends on data changing independently of benefits: hours worked, employment status, dependants, and waiting periods. Every change has to reach both the carrier and payroll in the same cycle, or coverage and deduction quietly diverge.
Where Benefits administration goes wrong.
- Reconciling carrier invoices by hand every month because enrollment changes reach the carrier on a different schedule than payroll.
- Eligibility rules written in a plan document but never encoded in the system, so waiting periods get applied inconsistently.
- Terminations that remove system access but leave the benefit deduction running until somebody notices.
Where Benefits administration sits between HR and payroll.
Benefits administration does not stand alone. The concepts most often paired with it on a HR run are Employee self-service, Open enrollment, RRSP, 401(k). Each is defined elsewhere in this glossary so you can trace the full chain without leaving the site.
