Since first receiving its license in 2009, the company has grown into a leader in entertainment, operating more than 60 locations and employing 850 people across the islands. Island Luck’s operations span gaming houses, sports betting, and online lottery services. As one of the largest private employers in the nation, it plays a major role in the Bahamian economy and is a familiar part of everyday life.

The Challenge

Before Workzoom, HR and payroll operated through a patchwork of disconnected tools and manual steps. Employee data was scattered across multiple systems, time and attendance were tracked separately, and there was no unified payroll platform. The team relied on Fingercheck for time tracking, but since it wasn’t connected to payroll at Island Luck, hours still had to be moved manually through spreadsheets for review and processing. Everyday tasks required logging into several platforms, slowing down workflows and increasing the chance of errors.

Limited HR staffing and reliance on manual processes slowed payroll completion and increased the risk of errors. Because payroll required data from multiple systems (Fingercheck, spreadsheets, and legacy HR records), the team faced repeated delays, particularly in aligning timekeeping and pay data. Staff shortages meant balancing day-to-day HR operations with project work, compounding the challenge of maintaining accuracy across multiple payroll frequencies.

Payroll was the toughest part. With several companies under the Island Luck umbrella, HR processed eight payrolls every week, including weekly, bi-weekly, monthly, and bonus runs. Each cycle meant pulling hours from spreadsheets, calculating Bahamian NIB contributions by hand, and issuing pay stubs that could arrive late or with errors. Managers spent time reconciling schedules against what actually happened at the stores. Frustration grew for employees and stress mounted for HR.

The Journey to a Decision

Island Luck began speaking with Workzoom in May 2023 while evaluating options to modernize their HR and payroll. Given the size of their workforce and the importance of payroll accuracy, they wanted to take the time to choose carefully.

The evaluation process also considered local compliance factors — such as Bahamian NIB regulations, employment law, and the ability to integrate operations across sister companies. For months they weighed different vendors, reviewed demonstrations, and measured each solution against the needs of their business.

In February 2024, Island Luck chose Workzoom as their partner. The decision reflected confidence not only in the system’s ability to handle complex payrolls and HR workflows, but also in Workzoom’s commitment to provide a long-term solution that would work across 60+ locations and serve 850 employees reliably.

The Solution

Island Luck and Workzoom rolled out a complete suite of tools that covered every part of the employee journey:

 

Each module was designed to phase in over time — starting with Payroll and Timekeeping — ensuring stability before expanding to other modules such as Recruiting.

The project began with defining Island Luck’s organizational structure inside Workzoom. The teams worked side by side to map out worksites, payrolls, roles, and reporting relationships. With this foundation in place, Workzoom could automate the flow of information from the moment someone is hired all the way to payday.

Facial Recognition Clocking

Clocking in was one of the first areas of improvement. Workzoom introduced facial recognition clocks across all 60+ Island Luck locations, creating a fast and secure way for employees to record their hours.

Island Luck and Workzoom collaborated to standardize photo capture and ensure accuracy across all devices. This included establishing company-wide photo standards, re-syncing mismatched images, and improving lighting in low-visibility areas. These adjustments made the system dependable across all sites and ensured payroll was fed accurate, real-time data.

 

Automated Payroll

Island Luck’s eight payroll streams were built directly into Workzoom. Weekly, bi-weekly, monthly, and bonus runs are now managed end to end, with NIB rules applied automatically. Payroll staff no longer recalculate deductions or reconcile spreadsheets by hand.

Parallel pay runs were used to validate results before the full transition, allowing HR and Payroll to compare Workzoom outputs against the legacy system to ensure accuracy before go-live.

A major success was automating overtime and holiday rules across complex staffing groups. Workzoom tied positional hierarchies and time rules directly into payroll, connecting Workforce with Payroll. HR no longer spends hours resolving pay errors or chasing missed hours. For a large population of frontline service staff, this delivered a significant improvement in accuracy and trust.

 

Scheduling and Timekeeping

Scheduling was another major shift. Managers now create and manage schedules directly in Workzoom, and employees clock against those schedules. Actual hours worked are automatically captured and sent to payroll, eliminating the manual comparisons once required between Excel files and attendance logs.

Hierarchy structures were refined to ensure supervisors and managers could accurately view and approve time for their assigned teams, improving visibility and accountability.

The result is tighter control over labor budgets, fewer payroll discrepancies, and reduced overall labor costs. Managers spend less time reconciling data, and the business gains stronger accuracy in how time and pay are managed.

 

Unified HR Data

Employee data that once lived in three systems now has a single home. Workzoom stores detailed personnel records, including compensation, banking information, emergency contacts, management structures, and a full history of work assignments. Recruiting and onboarding are managed in one place. New hires complete tasks online, including background checks, police certificates, work permits, and government forms, and all documents are automatically stored in Workzoom. Employees can update their details, request time off, and view pay stubs, while managers and HR work from a single, trusted source of information.

 

Collaborative Implementation

Success came from close collaboration. Workzoom provided guidance, best practices, and technical expertise while Island Luck contributed deep knowledge of payroll practices, scheduling realities, and multi-location operations.

The teams aligned complex payroll cycles, defined overtime and holiday rules, and resolved practical clocking challenges in low-light locations. While competing operational demands and limited staffing occasionally caused delays, transparent communication and incremental progress ensured steady advancement.

This focus on real operational needs delivered a solution that fit Island Luck without costly custom development and built confidence in its long-term sustainability.
